About the Role
The successful applicant will be responsible for maintaining client and vendor relations and performing a variety of administrative tasks, including scheduling, order management and inventory controlling. The ideal candidate should have experience working in a busy office environment where multi-tasking and prioritizing are required.
Key Accountabilities:
- Coordinate with toll blenders and raw-material suppliers for timely order execution.
- Communicate with toll blenders, suppliers, distributors, customers etc. to achieve OTIF (On Time In Full) in deliveries.
- Act as a focal point for HSSEQ reporting and program implementations.
- Perform general administration tasks in the office including filing and voucher preparations.
- Maintain the cost price file from toll blenders on monthly basis and inform the respective team accordingly.
- Coordinate with intercompany entities across the region for internal transfer of products.
- Preparation and legalisation of export documents (by sea, air and road).
- Work closely with inspection agencies for product inspection and quality certification.
- Prepare weekly and monthly delivery schedules and in consultation with Toll blenders and customers and report to the team members within organisation.
- Supervise orders and arrange stocking of raw materials and finished products to ensure they meet order fulfilment.
- Prepare accurate stock reports and conduct monthly inventory reconciliation.
- Keep logs and records of warehouse stock, executed orders, pending orders etc.
- Plan and track the shipment of final products according to customer requirements.
- Coordinate with logistics service providers and clearing agents for cross border shipments.
Requirements:
- Relevant tertiary qualification
- Bachelor’s degree preferably in Commerce.
- 3-5 years proven experience as Operations coordinator
- Previous experience within procurement / supply chain and demand planning within a lubricant company.
- Knowledge of LC/shipping documents, chamber attestation and preparation of cross border documentation.
- Computer-savvy with a working knowledge of ERP and MS-Office.
- Ability to work with little supervision and track multiple processes.
- Outstanding organizational and coordination abilities.
- Good communication skills in English and Arabic
